# ⏳ Activation Phase — Extensions & Completion Policy 

## This guide explains the Activation Phase timeline, extension request process, passing requirements, resubmission pathways, and what happens if deadlines are missed or the thesis is not successfully completed.

The Activation Phase is designed to be completed within:

- **4 months (core phase)**
- **+ 1 month grace period**
- **Standard total duration: 5 months**

👉 You are expected to plan your work to complete within this timeline.

#### 📝 Extension Requests

Extensions are intended for **exceptional circumstances only** and are not guaranteed.

⏱️ **An extension can be at most 6 weeks** beyond your current deadline (the end of your grace period). This is a one-time extension, in line with our study and examination regulations.

### ✅ When to Request an Extension

You may request an extension if:

- You face **unforeseen and significant circumstances** outside your control (e.g. health, personal or family emergencies, force majeure)
- Your progress is impacted despite consistent effort

### ❌ Not Valid Reasons

- Poor time management
- Delayed start or lack of planning
- Avoidable scheduling conflicts

### 📌 How to Request

1. Submit your request using the [**Activation Extension Request form**](https://share-eu1.hsforms.com/1cebTdXmnRXiUVeyEZcgMWwc2e8h)
2. Include: 
     - Reason for request
     - Current progress
     - Remaining work
     - How much extra time you need and your proposed new deadline (max. 6 weeks)
3. Inform your **Lab Owner (Supervisor)**

### 🧭 What Happens After You Apply

1. Your **Lab Owner (Supervisor)** reviews your request, usually within **3 working days**.
2. If your supervisor can't make the decision, they may pass your request to the **Assessment Commission**. We'll let you know by email if this happens.
3. You'll receive an email with the decision. If it's approved, it will include your new deadline. Our Operations team then moves you into a cohort with the updated deadline.
4. If your Thesis Live date no longer fits, you can [book or change your Thesis Live date](https://docs.google.com/forms/d/e/1FAIpQLSevHzQl7YZ9slHqfuUX2RtDhAn2dtj_5MMU3d38T5g6nvvoDw/viewform). Rebooking automatically releases your old slot.

### ⚠️ Important Conditions

- Requests must be submitted **before your deadline**
- Approval is **not guaranteed**
- You must continue working while awaiting a decision
- An extension can be **at most 6 weeks** beyond your current deadline

#### 🔁 If You Need More Than 6 Weeks

An extension cannot go beyond 6 weeks. If you need more time than that, you will need to **withdraw from your current Activation challenge and re-enrol in the next Activation start date**. You then restart the Activation Phase with a full timeline.

You can still use the [extension request form](https://share-eu1.hsforms.com/1cebTdXmnRXiUVeyEZcgMWwc2e8h). Select "More than 6 weeks" and we'll guide you through withdrawal and re-enrolment.

#### ❌ If Your Extension Is Not Approved

- You must continue within your **original timeline**
- You are expected to: 
    - Complete your thesis
    - Book and deliver your presentation within 5 months

If deadlines are missed:

- Your presentation may be **rescheduled**
- Your case may be **reviewed by the Assessment Commission**

#### 📊 Passing the Activation Phase

To pass, you must:

- Submit your **written thesis**
- Complete your **presentation & defence**
- Achieve a passing final grade: 
    - **70% Written Thesis**
    - **30% Presentation**

#### 📉 If You Do Not Pass

This may include:

- Not submitting your thesis
- Not completing your presentation
- Receiving a non-passing grade

### 🔄 What Happens Next

Your case will be reviewed by:

- Your **Lab Owner (Supervisor)**
- The **Academic Team**

### Possible outcomes:

### ✅ Resubmission Opportunity

- Improve your thesis and/or presentation
- Address feedback
- Submit within a defined timeline

### 🔁 Repeat of Activation (if required)

- In cases of major gaps or non-submission
- You may need to **repeat the Activation Phase**
